Data We Collect
Registration Data
When you create an account we collect: first and last name, email address, phone number (with country code), date of birth, gender, country, health worker type, pharmacy or place of work, province/region, and LinkedIn profile URL (optional).
Profile Data
After registration you may add: pharmacy registration number, professional biography, and profile photo.
Activity Data
We record your interactions with the platform: forum posts and replies, course enrolment and progress, event RSVPs, podcast listens, resource downloads, and any spotlight nominations you submit.
Technical Data
We collect IP address, browser type and version, device type, pages visited, time spent on pages, and referral source. This data is collected automatically by our hosting provider (WP Engine) and, when active, by Google Analytics.
Legal Basis for Processing
We process your personal data under the following legal bases:
- Contract performance — to provide the platform services you have registered for
- Legitimate interests — to improve the platform, ensure security, and prevent fraud
- Consent — for analytics cookies and optional communications
- Legal obligation — where required by applicable law
How We Use Your Data
We use your data to:
- Create and manage your user account
- Deliver CPD content, courses, and webinars
- Enable participation in the community forum
- Send event registration confirmations and notifications
- Display your profile in the members directory (first name, role, country)
- Analyse platform usage to improve content and features
- Prevent and investigate misuse or security incidents
Data Sharing and Third Parties
Service Providers
We share data only with trusted service providers under data processing agreements:
- WP Engine — website hosting (servers in the USA)
- Stripe — payment processing when applicable
- Google Analytics — anonymised website analytics when active
- RSS.com — podcast feed hosting
- Brevo (Sendinblue) — transactional email delivery
No Data Sales
We do not sell, rent, or trade your personal data to any third party for commercial purposes.
International Data Transfers
PharmaLink is hosted on servers in the United States (WP Engine). If you are located in Kenya, Ethiopia, Nigeria, or the European Economic Area, your data is transferred internationally. This transfer is covered by appropriate safeguards — including WP Engine’s standard contractual clauses — where applicable under GDPR.
Applicable Laws
Depending on your location, the following data protection laws may govern how we handle your data:
- EU GDPR — for users in the European Economic Area
- Kenya Data Protection Act 2019
- Nigeria Data Protection Act 2023 (NDPA)
- Ethiopia Personal Data Protection Proclamation (PDPP)
Data Retention
We retain your personal data for as long as your account is active. If you request deletion, we will remove your personal data within 30 days, retaining only what is required by law (e.g. transaction records). Anonymised analytics data may be retained indefinitely.
Your Rights
Access and Portability
You have the right to request a copy of the personal data we hold about you, and to receive it in a structured, machine-readable format.
Rectification
You can correct inaccurate or incomplete data at any time via your profile settings or by contacting us.
Erasure
You may request deletion of your personal data (the “right to be forgotten”). We will comply within 30 days unless we are required to retain it by law.
Restriction and Objection
You may ask us to limit how we process your data, or object to processing based on legitimate interests.
Withdrawing Consent
Where processing is based on consent (e.g. analytics cookies), you may withdraw consent at any time via your cookie settings or by contacting us. Withdrawal does not affect the lawfulness of processing before withdrawal.

Security
We implement appropriate technical and organisational measures including encrypted connections (HTTPS), role-based access controls, and regular security reviews. See our Security Overview for details. No transmission over the internet is 100% secure, and we cannot guarantee absolute security.

We may update this Privacy Policy from time to time. We will notify registered users of material changes by email or via a site notice. The “Last Updated” date at the top of this page reflects when the policy was last changed.
